Luxury custom home builder · North Idaho

One source of truth, 20+ hours back every week.

A luxury custom home builder was running estimates in a spreadsheet, client selections in PowerPoint, and everything else in Teams threads. We built one operations app that holds every job, from first estimate to final finish.

Admin time back
20+ hrs/wk

Hours the office and field team no longer spend hunting, re-typing and copy-pasting.

Every year
1,000+ hrs

Roughly half a full-time role, redirected to building homes.

Cost history
175 cost codes

Pricing built from ~27 past jobs, so every estimate starts from real numbers.

Before

The information existed. Nobody could find it.

Custom homes run on thousands of decisions, and this builder had them scattered across three places. Every week, people lost hours tracking down the latest version of something.

Supervisors dug through Teams

Specs, documents and schedules lived in chat threads. Site supervisors scrolled back through conversations to find what they needed before they could start the day.

Selections lived in PowerPoint

Each client's finishes were a deck with one slide per room. Choosing white oak for every bedroom meant copying it slide by slide, and there was no easy way to reuse a past project.

Estimating ran on a spreadsheet

A detailed square-foot estimating model worked, but it lived in one file. There was no version history, no approval step and no clean way to keep the historical averages current.

Accounting meant re-typing

Approved numbers had to be keyed into Sage by hand, with no guarantee the latest version was the one that made it in.

What we built

An operations app for the office and the jobsite.

  • Estimating. The spreadsheet model rebuilt as software: 175 cost codes across 17 divisions, three finish levels, a client price range, and averages that update as estimates are approved. Every change is versioned and approved, with a full audit trail.
  • Selections and finishes. Room-by-room selections that match the old books, with bulk apply across rooms, locked decisions, deadlines, and past projects saved as templates. One click exports the client PDF in the format they already know.
  • Supervisor portal. Each supervisor sees only their jobs, with live jobsite weather and daily field logs with photos.
  • Job hub. Every job in one place: overview, documents, selections, estimates and activity.
  • Accounting handoff. Approved estimates export to Sage in one step, always from the latest approved version.
  • Notifications. In-app and push alerts for field updates, new documents, selection decisions and estimate approvals, on a phone-installable app.
Replaced

Teams threads as the job record, the estimating spreadsheet, PowerPoint selection books and manual Sage data entry.

Build budget

$30,000 to $35,000 for the full build: estimating, selections, supervisor portal, accounting export and notifications.

The outcome

Supervisors open one app in the morning and everything for their job is already there.

Before and after

From three places to one app.
