A retail CRM that helps you know your customers and sell to them again.

Customer data stuck in your POS, inventory in another system, and marketing guessing in between. We replace the patchwork with one system built around how your team actually works.

What we build for specialty retail

One system, shaped to your work.

  • Customer CRM synced with your POS
  • Inventory alerts and reorder automation
  • Loyalty and win-back campaigns
  • Special-order tracking
  • Sales dashboards by product and channel

Every build starts with a custom CRM designed around your workflow, connected to the tools you already use through API and software integrations.

The result

Our clients save an average of $5,000 a month in software costs and lost time.

Start with an audit

In 30 minutes we map your tools and manual steps, and show you what a custom system would replace.

The real cost

Where retail stores lose repeat customers.

Your best customers already know you. The problem is that your systems don't know them, so you can't sell to them again on purpose.

Customer data is stuck in the POS

Your point of sale knows what sold, but it's hard to turn that into marketing. Who buys a certain brand? Who hasn't been in for a while? Who spends the most around the holidays? When you can't answer those questions easily, your email list gets the same message as everyone else.

Inventory surprises

A best seller runs out before anyone notices. Slow movers sit on the shelf. When inventory lives in one system and sales trends in another, reorders happen by gut feel or after a customer asks for something you don't have. Both cost you sales. Your buyer spends hours in spreadsheets trying to piece it together.

Special orders get lost

A customer orders a specific size or a special item. The details go on a slip of paper or in a notebook. The item arrives, and nobody calls. Or the customer calls, and nobody can find the order. Special orders are some of your most loyal customers, and losing track embarrasses the store.

Loyalty programs nobody uses

A punch card or a generic points program doesn't tell you much and rarely brings people back. Without real purchase history behind your loyalty and win-back efforts, you're sending discounts to people who would have bought anyway and missing the ones who are drifting away.

How it works

A retail CRM that knows who buys what.

Here's how each part of a custom CRM for retail stores works day to day, in store and online.

Customer profiles synced with your POS

Every purchase in your POS, like Square, Shopify POS or Lightspeed, flows into a customer profile: what they bought, how often, which brands and how much. Staff can look up a regular at the counter and see their history. Online and in-store purchases sit in the same profile, so you see one customer, not two. Staff can add notes like sizes and gift preferences too.

API & software integration services

Inventory alerts and reorder automation

Set reorder points for the items that matter. When stock drops, the right person gets an alert, or a draft purchase order is prepared for your supplier. Slow movers are flagged so you can mark them down before they become dead stock. Decisions get made on real numbers. You can also see sell-through by brand and vendor before your next buying trip.

Workflow automation

Loyalty and win-back campaigns

Campaigns are built on purchase history, not guesses. Customers who buy a brand hear about its new arrivals. Customers who haven't been in for a while get a personal win-back message. Top customers get early access to sales or events. You approve the messages and offers, and the system picks the right people. Results show which campaigns actually brought people back into the store.

Custom CRM development

Special-order tracking

Each special order is logged with the customer, the item, the supplier and the deposit. Staff can check status from any register. When the item arrives, the customer gets a text automatically. Orders that are running late get flagged before the customer has to call and ask. You can see every open special order, its supplier and its deposit on one simple list.

Client portals & internal tools

Sales dashboards by product and channel

See sales by category, brand, location and channel in one view. Compare in-store and online, spot trends early, and see which campaigns brought people back. Owners get the numbers they need without exporting reports from three systems into a spreadsheet every Monday. Your staff can see their own sales against goals you set, and buyers can see what to reorder.

In practice

One customer, from first purchase to regular.

  1. 01

    A first-time customer checks out

A customer buys a pair of trail shoes and joins your list at the register. The purchase lands in their new profile, and a thank-you message goes out with care tips for what they bought.

  2. 02

    They place a special order

On their next visit, they ask for a jacket in a size you don't stock. Staff logs the special order with a deposit. When it arrives, the customer gets a text, and the order is marked ready at every register.

  3. 03

    A brand they love restocks

Their favorite brand gets a new shipment. Customers who bought that brand before get an early heads-up. Our customer comes in that weekend, and the sale shows up in your campaign results. Nobody had to pull a list by hand.

  4. 04

    They start to drift

Months pass without a visit. The system notices and sends a personal win-back message based on what they've bought before. If they come back, the profile updates. If not, you know before they're gone for good.

What goes away

Your POS stays. The guesswork goes.

Specialty retailers often run a POS, a separate email marketing tool, a loyalty app, an inventory spreadsheet and a notebook for special orders. A custom retail CRM sits alongside your POS and ecommerce store, pulls their data together, and handles the marketing, special orders, inventory alerts and reporting your POS wasn't built for. You keep the registers your staff knows.

  • Loyalty or punch card app
  • Inventory spreadsheet
  • Special-order notebook
  • Disconnected email list
  • Weekly sales report exports
  • POS and ecommerce store (connected, not replaced)
Questions

Questions about a retail CRM.

Do I have to replace my POS?

No. Your POS keeps ringing up sales. We connect the CRM to it so customer and sales data flows in automatically. Most popular POS and ecommerce platforms allow this kind of connection, and during the audit we confirm exactly what yours can share. Your staff won't need to learn a new checkout.

Will customers feel like they're being spammed?

Not if the messages are based on what they actually buy. A note about new arrivals from a brand someone loves reads as useful. A blanket discount to the whole list doesn't. You control the frequency, the wording and who gets what, and you can adjust it anytime.

Can it handle more than one store or an online shop?

Yes. Multiple locations and your online store can feed one customer profile and one set of dashboards. You can compare locations, see where customers shop, and run campaigns across all of them or just one. Staff at any location can look up a customer's full history and open special orders.

What does a custom retail CRM cost?

It depends on scope: how many locations, which systems we connect, and which pieces you need, like special orders, inventory alerts or loyalty. The free audit gives you a ballpark. We look at what you're paying for today and show you what a custom system would replace.

Who handles it if something stops syncing?

We do. Black Atlas builds, deploys and supports the system. If your POS changes something on their end or a sync stops working, we fix it. You have a U.S.-based team to call, not a help center article. We also keep the system updated as your store changes.
